Grain to Glass Journey

Follow our illustrative grain to glass journey and discover how a bottle of whisky (or gin, rum or even kombucha!) makes its way from barley purchase to final shipment. We'll follow every key stage of production, showcasing how MasterDistiller and Odoo core business apps provide your team the features and support they need along the way. This overview offers a taste of the system's ability to improve efficiency to your distilling business.

In our example we use a relatively simple whisky production process. Our system is is flexible and can be customised to suit your particular workflow.

1. Purchase Barley

The Purchase app is used by your team to create RfQ's (Request for Quotations) and then a PO's (Purchase Orders) to submit to your barley supplier. PO's will include the SKU (Stock Keeping Unit), quantity and unit price for all good being purchased.

Once a PO has been raised and confirmed, a Goods In Receipt will automatically generate in the Inventory app, ready for your Operations team to check the goods into the system once they are delivered.

The Finance team will create a Supplier Bill on the Accounting app once an invoice for the order has been received from the supplier which is exported from Odoo to our accountancy system Xero.

2. Recieve Barley into Stock

Once the barley is delivered, your operations team will Validate the Goods In Receipt relating to the delivery on the Inventory, checking in the newly delivered barley to the system.

Odoo will add the stock quantity and cost/value to your inventory, making the barley available for upcoming processes on the system ready for distillation!

The Inventory app manages all stock movements on the system & costs associated with them. It provides key reports to our finance and operations teams on the quantities, locations and value of stock held by the business. It's also the "one source of truth" for product data such as SKU, barcode, product weights and dimensions.

3. Distillation

Once goods have checked in on the Inventory app, they can be used for distillations on MasterDistiller. Your Production team will use MasterDistiller to record each day's distillations on Production Records and associated cask fillings. In doing so, MasterDistiller will pull raw material stock and associated costs from the Inventory app and consume it to create whisky (or gin!) in the resulting casks or containers.

4. Time to Wait

During maturation, your cask will be managed on MasterDistiller including any reguages, location moves, ownership changes or stock planning allocation.

Once matured, the filled casks will be tipped into a Vatting on MasterDistiller, where your team can also add water for dilution and record angel's share and other losses. The vatted liquid will then be made available for bottling on Odoo's Manufacturing app.

5. Bottling

Once liquid has been vatted, diluted and had any losses recorded against it on MasterDistiller, the your team can create a BoM (Bill of Materials) listing all components and the quantities required to produce a finished bottle of whisky (or gin!).

The BoM will include the liquid alongside dry goods (such as bottles and corks) as well as staff bottling costs and duty on UK stock.

Your bottling team will create a MO (Manufacturing Order) to record the bottling using the BoM to define the component required for the bottling. Once the MO is Validated, the Manufacturing app will pull liquid and dry good stock and associated costs from the MasterDistiller & Inventory apps, consuming it to create the resulting whisky or gin Finished Goods in the Inventory app.

6. Sell the Bottle

Meanwhile, your Sale team will create a Quotation on the Sales app listing the required product(s), quantities and pricing agreed with a customer. Once the customer confirms they'd like to proceed with the quotation, your Sales team will Confirm the Quotation making it a Sales Order.

Once the Sales Order has been Confirmed, Odoo will automatically create a Delivery Order on the Inventory app. The Delivery Order can then trigger your Operations team to prepare and despatch the order from your warehouse to the customer.

7. Shipment, Invoice & payment

Once your Operations team has prepared the order for despatch, they will Validate the Delivery Order on the Inventory app. Doing so automatically deducts the stock quantity and cost from the Inventory app.

Your Operations team at the same point will also then create and send a Customer Invoice using the Accounting app which is sent by e-mail to the customer for payment.

8. Customer Recieves Their Bottle

Your bottle will be delivered to the customer!

Should customers face any issues with the delivery of their order, or if they have any post sale questions a Ticket can automatically be created in the relevant Helpdesk Team on Odoo's Helpdesk app.

Your team can then process all tickets and reply to customers as required using the Helpdesk App.
