Part 2: The Heart of the Barrel: Mastering Maturation & Cask Assets

Liquid Gold & Ledger Lines: Unlocking the Power of Cask Management

As Biebod Distillery’s new make spirit began its long enhancement in oak, Ben, the Head Distiller, knew that maturation was where a lot of the magic truly happened – and where significant value was created, or lost. He was now also responsible for the intricacies of cask management, from purchasing and filling to re-racking and blending. Anya, the CEO, viewed every cask as a critical asset, not just a container. Chloe, our meticulous Finance Director, needed to track these assets accurately, distinguishing between distillery-owned stock and casks sold to private clients. David, the Sales & Marketing Manager, was already envisioning future cask sales programs.

Managing hundreds, then thousands, of casks from a variety of sources (new oak, ex-bourbon, sherry butts, even experimental wine casks) was a logistical puzzle. Tracking maturation loss per cask type and location became critical in these early stages. Ben needed to know which casks were performing best, who they were from and where they were stored, which were losing more to the “angels’ share,” and how different wood types influenced the spirit. Without a robust system, this would be a manual, error-prone nightmare, making it impossible to identify those special casks for future releases or laser pinpoint quality control issues.

MasterDistiller’s cask management and provenance features became Ben’s indispensable tool. He could quickly and easily track cask locations, perform re-racks, and manage maturation losses with precision. The system allowed him to track every detail: cask type and history, age of spirit, spirit type, malt, yeast, previous grape variety, cask grading, forest and more ! This quick and effective grain-to-glass traceability meant he could, with a click of a button, trace a specific cask back to its raw ingredients or trace a batch of yeast forward to all casks produced from it – invaluable for narrowing down quality control issues or identifying those special batches for future special releases.

Casks were now truly treated as assets. Every cask had a full history, and we could print barcodes for either the “permanent” cask or that specific instance of maturation, or even the full history of a cask’s fillings. This made quick blending/filling decisions and insights effortless, managing the cask lifecycle became streamlined for Ben’s small team of distillers.

David, with Chloe’s input, leveraged the system for cask sales. MasterDistiller’s private client ownership tracking helped us manage casks held in our warehouse but owned by external parties, ensuring they were covered under insurance but not shown in Biebod Distillery’s stock valuation. Odoo’s CRM continued to be built up, now systematically managing communications with cask owners and membership benefits, ensuring a professional and efficient approach as our private client base grew. This systematic approach to sales and client management from day one meant we were ready to scale our direct-to-consumer cask sales and bottle sales in time, maximising revenue from this high-value product.

Early Wins that Compound :: The early win of digital production tracking (from Part 1) now compounded into superior cask management. Consistent data from distillation fed directly into maturation records, allowing for precise tracking of maturation loss per cask type and location. This insight allowed Ben to optimize warehouse conditions and identify potential issues early, leading to an estimated 1-2% reduction in maturation losses, translating to significant savings on valuable liquid over the years.
